How Jack Ross collects, uses, and protects information you share through this site.

This privacy notice explains how Jack Ross Chartered Accountants ("Jack Ross", "we", "us", "our") collects, uses, and protects information you provide through this website (sellmyfees.co.uk) and through related correspondence. We are the data controller for the purposes of UK GDPR and the Data Protection Act 2018.

Who we are

What information we collect

We collect information you give us directly through the website or by correspondence. Specifically:

  • Contact form data: first name, last name, practice name (if you choose to share it), annual fees range, location postcode area, email, phone (if provided), best time to call, and the body of any message you write.
  • Practice valuation calculator. The calculator on /value-your-fees/ runs entirely in your browser. Data you enter (annual fees, recurring proportion, biggest single client, location, practice type) is processed locally and is not transmitted to us. We have no record of any calculator session unless you subsequently contact us.
  • Subsequent correspondence: the contents of any emails or other written exchanges with us about a possible practice acquisition.

We do not collect any information about your clients, your staff, or third parties except where you choose to share it as part of substantive due diligence under a signed mutual non-disclosure agreement.

Cookies and analytics

This site uses cookies only where strictly necessary for site operation (session cookies for the LiteSpeed cache layer and the WordPress login state where relevant). We do not use Google Analytics, advertising cookies, or third-party tracking. If we deploy privacy-respecting analytics in the future (Plausible Analytics is the current intention), we will update this notice and the cookie policy accordingly. Plausible does not use cookies and does not collect personally identifiable information.

How we use your information

The lawful basis for processing depends on the type of contact:

  • Initial enquiries. Lawful basis: legitimate interests, namely responding to a direct enquiry you have made about a possible practice acquisition. We use the data to reply to your enquiry, to send the materials you have requested, and to follow up if you have signalled interest in a continuing conversation.
  • Mutual NDA correspondence and substantive due diligence. Lawful basis: legitimate interests in conducting confidential pre-deal evaluation, and in due course (if a deal is signed) the necessary processing for the performance of that contract.
  • Marketing follow-up. Lawful basis: consent. We will only send unsolicited follow-up emails if you have opted in. The opt-in is contained on the relevant form.

Who we share your information with

We do not sell or trade your information. We share it internally only on a need-to-know basis with the small group of Jack Ross staff involved in acquisition conversations. We do not share it with third parties unless legally required to do so or unless you have specifically asked us to (for example, with your solicitor or independent tax adviser when engaged in a deal).

Where we use external service providers (for example, email delivery via a transactional email service, or website hosting via Hostinger UK Ltd), the data passing through those providers is processed in accordance with their own ICO-compliant privacy practices. We have or will have data processor agreements in place with each.

How long we keep your information

  • Initial enquiries that do not progress: 24 months from last contact, then deleted.
  • Enquiries that progress to substantive conversation: retained for the duration of the conversation plus seven years thereafter for compliance and audit-trail purposes (consistent with ICAEW retention guidance).
  • Completed deals: retained per the ICAEW-mandated retention period, currently seven years.
  • Marketing-list opt-ins: retained until you withdraw consent or for 36 months from the last engagement, whichever is shorter.

Your rights

Under UK GDPR you have the right to:

  • Be informed about how your information is processed (this notice).
  • Access the information we hold about you.
  • Request correction of inaccurate information.
  • Request erasure of your information ("right to be forgotten") where applicable.
  • Object to processing on legitimate-interests grounds, where you have particular reasons relating to your situation.
  • Withdraw consent for marketing at any time.
  • Lodge a complaint with the Information Commissioner's Office at ico.org.uk, telephone 0303 123 1113.

Security

We use commercially reasonable security measures including encrypted-in-transit web forms (TLS), email encryption where supported by the recipient's domain, access controls on internal systems, and ICAEW-mandated information security practices. We have not had a reportable data breach.

Changes to this notice

We will update this notice when our practice changes or when the law requires it. The current version is dated above.
